Overview

All remaining organisation settings in one place: welcome message, language, limits and the mail configuration including a connection test. Name, logo and subdomain are under Organisation, the organisation-wide system prompt under System prompt.

What it is for

These settings shape what your users see at start, which language they work in, how much they may upload and consume, and whether basebox can send e-mails – such as invitations.

Where to find the settings

Open Administration → Organisation in the sidebar. The settings are grouped into sections there.

Every page has one Save button; if you leave the page with unsaved changes, basebox warns you. On/off options are implemented as switches, not drop-down lists.

The settings in detail

Welcome message

Administrators tailor the welcome title and message users see at start – for example with the organisation's name, usage notes or a pointer to internal contacts. For time-limited announcements (maintenance, news) use Messages of the day instead.

Language

The interface is available in German and English. Each person chooses their language in their own profile. On basebox Server, the Platform Operator sets the language of the first administrator at installation (ADMIN_LANG). Language-dependent elements such as tooltips and the app list follow the profile language; citations work in every language, individual labels such as "SOURCES" appear in English.

Limits

Upload and usage limits are set per organisation:

Independently of this, 10 MB per file applies in the chat. Files that are too large produce a clear message naming the real limit. Usage limits also apply to requests via the API.

Mail configuration

basebox sends e-mails for invitations and notifications. For this it needs an outgoing mail server (SMTP): host, port, username, password, connection type (TLS or STARTTLS) and sender address.

  • Test before saving: the configuration can be checked with one click before it is applied.
  • Without SMTP, invitations cannot be delivered by e-mail. basebox warns when you invite users without SMTP configured; you can then copy the invitation link and deliver it yourself.
  • On basebox Server the Platform Operator can alternatively set the mail configuration via Helm (AISRV_SMTP_*, AISRV_SENDER_EMAIL). In basebox Cloud you likewise connect your own mail server; basebox does not provide mail sending. The server must be reachable from the Noris data center. Details: SMTP.

Step by step: setting up the mail configuration

  1. Open Administration → Organisation and the mail configuration section.
  2. Enter host, port, username, password, connection type and sender address. Use a technical mailbox, not a personal one.
  3. Click Test. basebox establishes the connection and reports the result.
  4. Save.
  5. Invite a user as a trial and check that the e-mail arrives (including the spam folder).

Notes

Note

  • Invitations are valid for 14 days. After that, renew them under Users → Invitations.
  • Licence limit is different from usage limit: it caps the number of user seats. If none are free, an upgrade is needed.
  • Limits apply per organisation – if you run several organisations, set them separately for each.
  • Changes to settings are recorded in the Audit log.

Mail credentials are secrets

Use a dedicated technical account for SMTP with permission to send only. The password is not shown again after saving.

Frequently asked questions

Can I tailor the welcome message per group? No, it applies to the organisation. For audience-specific notes, apps with their own heading and description are suitable.

Why do invitation e-mails not arrive? Check the connection test, sender address and the recipient's spam filter. Without an SMTP configuration, no e-mails are sent.

Where do I switch the language for everyone? You do not – each person chooses their language in their profile.

What happens when the usage limit is reached? The ring in the dashboard shows it; clarify details of the behaviour with basebox (Contact sales in the dashboard).
