Users

Overview

In user management, you as an administrator control who has access to your basebox organization and what permissions those people have. You can invite team members, remove them, and adjust their roles.

Important

Only administrators can manage users. Regular users do not see these functions.

Opening user management

  1. Open Administration – Click "Administration" in the sidebar
  2. Select Users – Click "Users" in the administration menu
  3. Overview – You see all team members with their current roles

Inviting users

In the Users area, you invite new people as follows:

  1. Click "+ Invite user"

  1. Enter the user's email address
  2. Click Invite

The invited user receives an email and can create their account.

Managing invitations

You can view and manage existing invitations at any time.

  1. Open Users → "Invitations" tab
  2. Select an invitation

The following actions are available:

  • Renew – Resend the invitation
  • Delete – Remove the invitation
  • Send email – Resend the invitation
  • Copy link – Share the invitation link

Note

Keep your basebox organization's license limit in mind. If no free user seats are available, an upgrade is required.

Removing users

When you need this: When team members leave the company or no longer need access.

How to remove a user:

  1. Select the user – Find the person in the user list
  2. Click the delete icon – Click the trash can icon
  3. Confirm deletion – Confirm the action in the popup window

What happens afterward:

  • The user is immediately removed from your organization
  • They no longer have access to basebox
  • Their apps and data remain in the organization

Changing roles

When you need this:

  • To make a user an administrator
  • To revoke an administrator's admin rights
  • To equip new team members with the right permissions

How to change a role:

  1. Select the user – Find the person in the list
  2. Click the edit icon – Click the pencil icon
  3. Choose the new role – Select "Administrator" or "User"
  4. Save – Click "Save"

The change takes effect immediately – the user gains or loses the corresponding permissions the next time they log in.

There are two roles: Administrator (manages users, apps, and the organization) and User (uses chat and apps). For the full explanation of both roles, including a permissions table, see Roles & Permissions.

Important security notes

Always keep at least one administrator. Without an administrator, no one can manage users or change important settings anymore.

  • Never remove the last administrator
  • Make trusted team members co-administrators
  • Document who has administrator access

Regular review. Check monthly which people still have access, whether all roles are still current, and whether former employees have been removed.

Frequently asked questions

Can I temporarily deactivate a user? No, you can only remove users completely. For temporary suspensions, contact support.

What happens to the apps of a removed user? The apps remain in the organization and can be managed by administrators.

Can a user make themselves an administrator? No, only existing administrators can change roles.
