Using your own apps
Using apps quickly
4 simple steps:
- Click "All apps" in the navigation
- Select the app you want from your list
- Ask a specific question about your documents
- Use the answer – copy it or process it further
Better results through better questions
Ask specifically:
- Good: "Warranty period for product XY-123?"
- Good: "Which documents do I need for application ABC?"
- Good: "Prices for the premium package in Q1 2024?"
Avoid vague questions:
- Bad: "Warranty?"
- Bad: "How does that work?"
- Bad: "What does it say?"
Practical tips:
- Use terms from your documents – The app knows your terminology
- One question per message – Clearer than several questions at once
- Provide context – "For customer Miller" or "Regarding project Alpha"
Solving common problems
App answers imprecisely
Solutions:
- Make the question more precise: "What steps…" instead of "How…"
- Split the question: Ask several specific questions
- Use different terms: Synonyms from your documents
"No information found"
Solutions:
- Use alternative terms (e.g. "return" instead of "RMA")
- Use full product names
- Check whether the information is actually in the documents
Answer too long/short
Controlling answer length:
- "Short summary in 3 bullet points"
- "Detailed explanation with examples"
- "Just the key facts"
Maintaining apps regularly
Monthly maintenance:
- Update documents – Upload new versions, remove outdated ones
- Test sample questions – Do the most common queries still work?
- Collect feedback – What works well, what doesn't?
- Add new documents – Expand the FAQ, add new guidelines
Improving quality:
- Document frequent questions and store them as examples
- Replace unclear answers with better source documents
- Incorporate team feedback into app improvements
Examples of effective app use
Customer service app:
- "Return policy for online orders over €100?"
- "Contact details for technical support for product ABC?"
Contract analysis app:
- "Notice periods in sample contract type B?"
- "Which clauses are critical in supply contracts?"
Product catalog app:
- "Availability and price for item no. 12345?"
- "Technical specifications for product series XY?"
Tips for advanced users
Structuring complex requests:
- Set context: "For customer project Miller…"
- Specific question: "Which products meet requirement X?"
- Define format: "As a table with prices"
Combining apps:
- Use different apps for different tasks
- Results from one app can be input for another
- Build workflows between apps
Important
Apps are only as good as the documents you've uploaded. If answers are incomplete, check whether the information is present in your documents.
Tip
Collect your team's frequently asked questions and optimize your apps accordingly.
